Primary Job Accountabilities
§Act as main point of contact for visitor and vendors, providing an overall welcoming environment
§Insure the quality of internal customer services offered, in addition to a maintaining acceptable response times
§Provide greeting visitors and delivering exceptional customer service assistance.
§Promote safety protocols in every moment.
Essential Functions and Tasks
§Performing ad hoc administrative duties as needed. Keep confidentiality all the times ad with all information.
§Answer and direct phone calls
§Welcome visitors in a warm and friendly manner, and answer any questions visitors have
§Maintain reception and all common areas in a clean and tidy manner at all times
§Operate standard office equipment on a regular basis, including a fax machine, copy machine, a computer
§Keep detailed and accurate records of visitor requests, including the ones in the building receptionist
§Receive deliveries; sort and distribute.
§Take inventory of supplies and restock as needed and maintain the general office filing system
§Follow up payments with Finance and customers
§Maintain and Promote safety protocols between vendors, visitors, and employees
§Manage relationship with cleaning vendor
§Coordinate and support events, meetings and audits when need it
§Manage meeting rooms,in order to comply with internal use policy of any work space
Knowledge and Expertise
§Demonstrated expertise in customer service and administrative process
§Knowledge of Microsoft Tools and other applications. - Ability to leverage MS programs, including Outlook, Lync, etc.
§Professional Expertise - Expertise and knowledge required to be effective in position; may include knowledge of theory or practices within the office reception/ and Microsoft Lync Attendant function
§The "I am Transplace" Way--Protocols for answering the phone, e-mail, IM, etc. etiquette and professional standards.
§Transplace Expertise--Understand and know the Mission, Values and Goals, organizational structure, company history, how we function internally, processes, behavior, etc.
§Expertise in listening to the customer

§Multi-Tasking--Handles multiple tasks simultaneously - Prioritizes and organizes assignments to make efficient use of time with significant attention to detail.
§Objective--Ability to deal with facts, conditions, and the impact on the business of Transplace without distortion from personal feelings and/or emotions.

§Service Orientation--Commits to and enjoys providing exceptional service to internal and external customers.
§Bilingual in Spanish and English in oral and written communications.
§3+ years of experience as a receptionist or office management
§Bachelor degree in business or administration
